ROLE DEFINITION:
Community Success Officeris the one who is responsible for managing event planning, co-ordinating end to end management with registered membership of the Company. The candidate will be responsible for managing customer relationships, vendor relations and community engagement activities.
RESPONSIBILITIES & DELIVERABLES:
- Event Management: Nature trails, Webinars, Workshops, Exhibitions, Get togethers, Social Initiatives, Contests.
Event planning – Plan an event, include objectives, budget, timeline & logistics. Identify target audience & tailor the event for community success.
Logistics Coordination – Coordinate all logistical aspects – transportation, accommodation, catering & equipment. Develop contingencies plan for unforeseen issues.
Budget Management – Develop and manage the event budget, allocating resources effectively. Monitor expenses and identify cost-saving opportunities.
Marketing & Promotion – Coordinate with the marketing department for creating a marketing strategy to promote the event and attract participants. Utilize various channels, including social media, advertising, and partnerships. Looking out and Pitching prospective Sponsors for the Event sponsorship.
Registration & Ticketing – Implement a smooth registration process for attendees. Set up an efficient ticketing system, if applicable, and manage ticket sales.
Post event evaluation – Conduct a thorough evaluation of the event’s success, gathering feedback from participants. Analyse key performance indicators and identify areas for improvement. Add all the attendees to retention pool.
Customer Relationship – Maintaining connections with members using Emails / social media / WhatsApp / Calls.
Market Research -Understand trends and demands in the tourism industry, customer preferences & emerging destinations. Consider unique selling points and how the offerings will stand out in the market, innovative ideas for new travel products.
Product Design & Development – Design compelling travel itineraries and packages. Explore and incorporate unique, off-the-beaten-path destinations and experiences.
Price & Value analysis of product – Conduct pricing analysis to ensure competitive yet profitable offerings.
- Membership Management:
Membership management – End to end management of registered membership of the company. Consulting and support to new customers, Maintaining the database, Managing the membership offerings.
- Vendor Management:
Working on building new vendors – Establish clear Service level agreements with vendors, outlining expected service levels, response times, and performance metrics.
Contract Negotiations – Negotiate contracts and service level agreements with vendors to establish terms, conditions, and expectations. Clearly define deliverables, pricing, payment terms, and cancellation policies.
Vendor performance reporting – Define key performance indicators (KPIs) for vendor performance. Implement reporting mechanisms to track and analyse vendor performance against established metrics.
Vendor & Resources planning – Working on building new vendors, Contract Negotiations, Vendor performance reporting.
